Presidents Message 2022-2024

When we received responses to the SWOT analysis in connection to the review of our SISWP Strategic Plan, some of the responses received were

"What does our SISEAP Board of Directors do?"

"There is a gap between the Board Directors and the Members."

Before I attempt to respond to the above comments, I believe that it is timely to review why did SISWP/SISEAP becOme a Not-for-Profit (NFPs) Organisation registered with the Australian Securities and Investments Commission (ASIC).

Typically, not-for-profits in Australia register as either companies limited by guarantee or incorporated associations (which are registered with state authorities, not ASIC). However, registering with ASIC as a company limited by guarantee is common for larger, more complex NFPs with national or international operations, like SISWP/SISEAP. And it has been proven that registering SISWP/SISEAP as not-for-profit organization with ASIC has its advantages as shown by the following :

  • National legal status, allowing the organization to operate across Australia.

ASIC registration allowed the organization to operate across all states and territories under a unified legal structure, avoiding the need for separate state-based registrations (which are necessary for incorporated associations).

  • Limited liability protection for members.

SISEAP is a company limited by guarantee and offers limited liability protection for its members ie the clubs In the event of the organization winding up, members are only liable for a nominal amount of $50. (This structure protects individual members from personal financial risk, which is important for volunteers or board members involved in managing the NFP.

  • Enhanced credibility and trust due to strict governance standards.

Registering with ASIC enhances the credibility of the organization because it is subject to strict regulatory oversight and governance standards under the Corporations Act 2001. This structure assures donors, stakeholders, and partners that the NFP adheres to national compliance and transparency standards.

  • Access to charitable tax benefits and funding opportunities.

NFPs can seek registration with the Australian Charities and Not-for-profits Commission (ACNC) to become recognized as a charity, giving access to tax exemptions and concessions. I am pleased to inform that SISEAP is now duly registered with ACNC.

Our next target is to register SISEAP for Deductible Gift Recipient (DGR) status from the Australian Taxation Office (ATO), allowing donors to claim tax deductions on contributions.

  •  A formal management structure with defined roles and responsibilities.

As we are registering with ASIC, we are  required to adherence to higher governance standards, which helps ensure accountability and transparency within the organization. This includes preparing annual financial statements, holding annual general meetings (AGMs), and maintaining accurate financial records, all of which contribute to strong governance.

ASIC registration facilitates a formal corporate governance structure, where directors and members have clearly defined roles and responsibilities. Directors and officers are bound by duties under the Corporations Act, ensuring the organization is managed properly and ethically.

  • Public accountability and ability to apply for larger grants and funding

Many government grants, corporate partnerships, and large-scale donations require a formal legal structure like a company limited by guarantee. Registering with ASIC positions SISEAP to be eligible for significant funding opportunities that may not be available to smaller or less formalized organizations.

ASIC registration provides public transparency, as key information about the organization is available through the ASIC register. This includes details on directors, the company’s constitution, and financial reports. Public accountability enhances trust from donors, stakeholders, and the community.

So, what does the Board do?

 The Board of Directors holds significant responsibilities to ensure the organization's success, governance, and legal compliance. These responsibilities are outlined by both the Corporations Act 2001 and the organization's constitution or bylaws.

  • Directors are expected to act in good faith, with due care, and in the best interest of the organization’s mission rather than personal interests or external pressures.
  • Legal compliance with ASIC and ACNC as well as financial oversight. Directors must review, approve, and monitor the organization’s budget, ensuring funds are managed responsibly and allocated in accordance with its Accurate financial records are to be maintained and financial reports, including audited statements are submitted to ASIC or the ACNC on time.

Strategic leadership and governance structures are in place and the organisation stays true to its mission and long term vision. Directors are responsible to create 

  • strategic plans that outline the organisation’s goals, key initiatives and metrics for success including monitoring and assessing the implementation of these plans regularly.
  • The organisation is accountable to its stakeholders (including members) and operates transparently and ethically. For the biennium 2024 - 2026, the board aims to ensure that the organization maintains positive relationships with key stakeholders, including donors, volunteers, government bodies, regulators, and the community as the board believes that transparency and effective communication are essential for maintaining trust and support.

As we reflect on our achievements and look towards the future, it has become increasingly clear that enhancing our branding and visibility is vital to SISEAP’s continued success and growth. Despite its long history, SI is still not as well-known to the general public compared to other large international NGOs, hence the quote “SI is the best kept secret”.

Branding is more than just a logo or a tagline—it's the story we tell about who we are, what we stand for, and the impact we make. A strong brand helps us connect with the public, attract new members, and inspire donors to support our mission. It also ensures that when people think about gender equality and the empowerment of women, Soroptimist International is the first name that comes to mind.

In today's digital age, our brand is shaped largely by how we present ourselves online, particularly on social media. Platforms like Facebook, Instagram, Twitter, and LinkedIn are not just tools for communication; they are powerful engines for engagement and advocacy. By leveraging these platforms effectively, we can reach a broader audience, share our stories more compellingly, and mobilize support on a larger scale.

Here are some of the ways you can help :

1. Be active and engaged:

  • If you haven't already, follow our official SISEAP accounts on social media. Like, share, and comment on posts to help boost our visibility.
  • Be active on your own region or club facebook or instagram.Social media is a great way to share the amazing work you're doing in your local communities. By showcasing your efforts, you contribute to the global narrative of our impact.
  • Based on statistics compiled by the Communications Team, Facebook is the most popular social media platform in Australia (60% of users), Indonesia (45%), Malaysia (44%), New Zealand (58%).
  • If possible, post press releases to the print media on projects, events and focus articles such as the latest article of the Edge Options (Malaysia) featuring our SI President, Siew Yong Gnanalingam “the first Asian President of Soroptimist International”

2. Use Consistent Branding:

When posting about Soroptimist activities, use our official logos, hashtags, and messaging guidelines. This consistency strengthens our brand and makes our presence more recognizable.

3. Invite Others to Join:

Encourage friends, family, and colleagues to follow our social media pages and learn more about the work we do. Personal recommendations are powerful tools for expanding our network.

4. Participate in Online Campaigns:

We will be launching several online campaigns in the coming months. Your participation is crucial to their success. By engaging with these campaigns, you help amplify our voice and the important issues we address.

Together, we can enhance the visibility of Soroptimist International and ensure that our mission resonates with people around the world. Let’s work together to make our brand as powerful and impactful as the work we do.

In the month of July, SISEAP saw important changes in our company leadership.

It is with deep sadness that we share the news of the passing of our Past Federation President and Company Secretary, Carolyn Hudson. Her contributions to SISEAP were invaluable, and her absence will be profoundly felt by all who knew her.

Carolyn was a beacon of dedication and service, always going above and beyond in her efforts to support and uplift others. Her unwavering commitment and tireless work have left an indelible mark on our organization, and her legacy of kindness and generosity will continue to inspire us all.

In these challenging times, we are also reminded of the importance of continuity in the work she was so passionate about. We are fortunate that Theresa Lyford has stepped up to take on the position of new Company Secretary. Theresa brings a wealth of corporate experience to our organization, which is expected to bring enhanced organisational governance, strategic insight, and a renewed focus on operational efficiency to our team.

Additionally, we are excited to welcome Jemma Arundel, an experienced fundraising consultant, to our team. Her expertise will be crucial in building financial support for our organization, enabling us to enhance our programs and services. Jemma is expected to develop and implement comprehensive fundraising strategies, cultivate donor relationships, and expand our funding base.

As we embrace these leadership changes, we also recognise the importance of effective communication within our community. Virtual communications platforms play a vital role in keeping our members connected, engaged, and informed. We are committed to ensuring that our members feel at ease using these platforms and are familiar with their functionalities. Pursuant to feedback from members regarding the lack of knowledge of using the GoTo Meeting platform and their request to adopt the Zoom platform as an alternative, the Federation has purchased Zoom Pro for the use by clubs, regions and Federation.

The purchase of the Zoom platform has proved to be a right decision as Hanaa Abdullah, our Federation Communications will attest to her communications survey form which alluded that 70% of the respondents use Zoom as their preferred communications platform. We are confident that these changes will strengthen our leadership team as we strive to strengthen our mission of empowering, engaging and elevating women and girls.

We are entering our 2nd month in this Biennium and I can see that everyone on the Federation team is settling into their new roles with gusto!

I wish to say, for any of us who are transitioning into new roles and navigating new tech and systems, it is ok to feel lost for a bit. However, no one is alone in SISEAP. We all work in teams, and we’re here to help each other, to support each other and travel this journey together. Please do contact us if you need assistance in any SISEAP work, whether at club level, national, regional or Federation levels. Our door is always open!

On another note, did you know that June is Environment Month?  This biennium, SISEAP will celebrate and focus on 4 special UN Days. We begin with Environment Month (June), followed by Day of the Girl Child in October, 16 Days of Activism for the elimination of gender based violence in November/December and International Women’s Day in March.

As part of June's Environment Month celebrations, on 22 June 2024, SI Region of Malaysia celebrated the Sustainable Food Security Project Day at its project in Bentong, 80 km from Kuala Lumpur. I was honoured to be part of the organising committee, who brought together the Malaysia Soroptimists to be involved with the Region project, a project which addresses one of the most pressing global challenges: ensuring sustainable food security. SI International President Siew Yong Gnanalingam also attended together with her Club members.

Sustainable food security is not merely about providing enough food for all; it encompasses the entire food system, including production, distribution, consumption, and waste management. It aims to ensure that everyone has access to nutritious, safe, and sufficient food while maintaining the health of the environment.

As we celebrate Environment Month, let us remember that sustainable food security is a cornerstone of a sustainable future. Together, we can make a difference, one meal at a time.

I believe many other clubs across the Federation have also embarked on their environment project days and I look forward to hearing about the diverse and impactful projects.

I sat down to write my last article for the Bulletin and I think I am about all written out,  in the past two weeks I have written my Presidents Report, the opening address for the AGM, the article for the company annual report, my opening address for the conference and am currently working on my closing address for the conference.  I begin to wonder how many times one can say Soroptimists are amazing people and I love being a Soroptimist all of which is factful and true. 

But before we get to that, there is still some business topics to cover. We are entering one of the most important weeks of our Soroptimist year, I hope that clubs are prepared for the AGM, General Meeting and the Federation meeting. Have you held a meeting to choose your club representative at the meetings, have you read through the motions for the constitution and the decision for a Federation Logo? Have you given direction to the club representative on how she will vote? Have you discussed if your club would like to raise any questions with any of the Federation convenors?  It is important! Have you completed the forms to inform Federation secretary who will be your club representative? I urge each of you to read through the annual reports by the convenors and the National Presidents. I find reading all of the National President’s reports to be of immense value, to understand what are the barriers to women achieving gender equality, see what has been achieved by clubs in their countries, and they also highlight areas of advocacy and ideas for projects. 

The statistical data which has been extracted from the programme reporting database fills me with much pride, and you will have to wait until the company agm to hear how beneficial the work undertaken by SISEAP Soroptimists has been.  

The conference committee effort these past few weeks has been outstanding, there is so much to do to ensure that we all have the most amazing experience. The key note speakers will present a range of topics all of which are relevant to our Soroptimist work. Workshops will provide topics which address both our personal interests and our Soroptimist interests. The Friendship night is always fun and we have the Gala dinner to cap of a memorable 3 days, make sure you bring your dancing shoes for both events.

In closing, over the past 2 years, each month I have sat down at my computer attempting to write a monthly article which I hope has been of interest to our members, and now I am sitting here writing my last monthly greeting to you all.  SISEAP soroptimists have embraced the biennium tag line “Our Voice for Change – Our voice will amplify our areas of concern”, where you have identified areas of concern your voice has advocated for that change, the projects have addressed the 8 objectives and also the identified core elements of Education, Equity, Economic Empowerment, Enterprise and Environment.  Clubs embraced the Living with Nature Art competition which provided a voice for our youth through creative art. It has been with immense pride that I have been your representative at club charters, international events, webinars, Federation President’s meetings, conferences, conventions, CSW and many other times. I thank Federation Secretary Sue for her constant support through these 2 years, Headquarters staff who contribute over and beyond what is asked of them, the directors who took up the challenge to ensure that we operated as a company and supported the restructure of the company and Federation. The Federation convenors and their committees, I cannot thank you enough for your dedication, the volunteer hours you each have contributed to ensure that SISEAP continues to meet the vision and mission of our organisation has been huge.  This biennium has been a lot of hard but enjoyable work,  come the 1st of June I am off on a walking tour of Arnham Land,  and I am sure I will have time to reflect back  on what a ride it has been. Thank you for your trust and friendship.

This is the last month before the AGM, General Meeting, Federation Meeting and when we all get to meet at the “Your Voice our Future” conference to be held on the fabulous Gold Coast Tweed Heads, on the 3-5 May.   

It has been 6 years since we last met, each of you would have received the conference newsletter into your inboxes last week, please read, you will see that we have some exciting guest speakers who will provide thought provoking and interesting ideas over a range of topics, all of which are relevant to our vision and mission.

Conferences are a great time to catch up with old friends, meet new friends, get our creative project juices flowing as you come away invigorated with ideas for your clubs project work.  Use the opportunity to connect with other clubs and discuss possible project partnership ideas.

I encourage each of you to attend, every club should endeavour to have one member present in person as your club representative. The AGM and General meeting will only be held in person, so it is important that you have a club representative at this meeting.  The Federation meeting and some of the conference will be streamed out to members and guests, there will be a cost involved for this.  Please review the conference website page HERE

Shortly all clubs will receive into their club email account, the AGM agenda, General meeting agenda, Federation meeting agenda, annual reports and supporting documents, the club secretary and president will need to review these documents closely.  These will need to be discussed at a club meeting, and the club representative delegated with how she should vote at these meetings.

It is also to be noted that for a club to vote at these meetings, the club needs to be financial.  As of writing this report there are still clubs who are unfinancial, the clubs in question should arrange payment ASAP.

March was once again a busy month for myself, it was a privilege to represent members from SISEAP at CSW68.  SISEAP’s special consultative status with ECOSOC, enables our organisation to have up to 20 participants at CSW,  we do share our tickets with other Federations. This year Soroptimist International was one of the largest delegations at CSW with 98 Soroptimists from across the globe there in person.  Once again, this CSW was held as a hybrid event, which enables many Soroptimists who cannot attend in person to be able to participate in a variety of parallel events.  I do hope that many of you were able to view some of these parallel events. Attending these events provides you with a new perspective on topics.  CSW is very much a learning and sharing experience, everyone comes away with renewed energy for progressing gender equality, and ideas for improving the way in which we implement projects.   The agreed conclusions also provide us with recommendations towards closing the gap for 2030.  If you wish to read the Soroptimist International statement read HERE. The final agreed conclusions document can be read HERE.

Our membership base continues to grow, with the successful charter of 2 clubs since our last newsletter.

We welcomed SISEAP Sisters Online on the 24th of February,  this is truly an international club, with members from across our Federation and we can now add another country Vietnam to our country list.  Then on the 24th of March we welcomed members to SI Pearl of the Orient, the 2nd club for Penang. The charter event was attended by SI President Siew Yong Gnanalingam, myself and president elect Joanne Yeoh.

This is the 6th club chartered during my biennium, our organisation has relevance in today’s world and women are eager to join, don’t forget to extend an invitation to every woman you meet.

I hope that our members were able to celebrate Easter and Eid al-Fitr with each other, and I look forward to welcoming all to the conference.

International Women’s Day (IWD), #InspireInclusion,  Inclusion is a verb,  or that is how I was going to start my March article, and then I thought better check that Inclusion is a verb (and I say this tongue in cheek), don’t want to offend our grammar members, only to go to the dictionary and see that it is a NOUN,  I thought wait a minute a NOUN refers to a ‘thing” whereases as to me Inclusion is something we should all be doing, so it is a doing word a VERB, so I put down my dictionary, and when to google, and guess what there are others out there who think similarly, there are even authors who have written books titled Inclusion is a Verb, so much for my thinking I was being original. But back to Inclusion, Inclusion is something we can act out everyday, invite someone into your life, advocate for all people, make sure that everyone at the committee table is included in the discussion and jobs, be respectful to all, we all want to be included in some way, valued and respected, be that person who acts to be inclusive.

Soroptimists have long been grass roots leaders, and our work in our communities should be celebrated, and hosting a IWD event is a great time to celebrate with your community the valuable work you have contributed, so as your club gears up for IWD, plan to celebrate. IWD now lasts for a week and some countries are calling March “women’s month”, extending IWD is good news, more time to celebrate our wins and even more time to advocate for the continued injustices.  Remember to use social media throughout the week.  The Programme team and Communication team (Oriana and Jess) have put together a great resource pack and I see that clubs have started to use these in their social feeds, use this link to the Trello board to view and download these resources, https://trello.com/c/Vf8TjC61/26-iwd-resources-and-toolkit  I know that your events will be successful, that your guest speakers will inspire and that we will all continue to walk the path together for Human Rights for all.

This month there will be several new members reading this bulletin, as we welcome to our sisterhood the members of the newly chartered club SI SIEAP Sisters Online, I hope that many of you were able to view the virtual charter ceremony, congratulations to Kim Hainsworth, charter club president, and Membership Convenor Yvonne Simpson on the astounding successful charter and welcome to the new members, may you receive friendship and enjoyment as you go about your Soroptimist work. 

1st of March is for us in the leadership team means we are getting down to the pointy end for this biennium, Federation Secretary Sue will be sending out regular information both in the bulletin and emails direct to club’s email accounts about the Annual General Meeting, the General Meeting and the Federation meeting.  These events will happen on the 3rd of May at Twin Towns on the Gold Coast.   Clubs will be expected to have a club representative (old term Delegate) at these meetings.  Reports, motions for resolutions, agendas and supporting documents will all start to be received into your club’s email accounts, watch out for these and the action items.   There will also be a dedicated page on the website in the members area for you to access the information and download the documents. 

If you wish to contribute to the running of the Federation, there are several positions vacant 2 positions in the Programme Team, and two young members (under 40) to join the Global Youth Forum, links and information available for both positions in the members area of the website. The Federation is also calling for Directors for the SISEAP Company, do you have the skills, drive, are innovative then please join us, the Federation and company cannot function unless members step up, work as a team to lead the Federation.

Have you made a new beginning promise this year, or a New Years resolution, did you promise to do something good, or start afresh with some difficult ‘thing”.  Did your club conduct a planning day, or is yet to do so?

Did you take the time over the Holiday break to reflect on your year, was Soroptimist part of this reflection?  We cannot make a change or a new beginning unless we look back and evaluate, our new beginning has to be free from the actions or thinking that got you there in the first place.  Your new beginning has to be mindful of the past actions and recognition of what is required to implement that new beginning. 

This year, by renewing your membership you have already taken the steps to that new beginning.  Recognising that being a Soroptimist holds much promise, working with supportive ‘sisters’, linking into a global movement, and always that service or volunteering ‘work’, knowing that it will benefit many women and children as well as yourself. 

This week we celebrated Education week, read more HERE. Although the Programme team is still finalising approving the submitted reports, I did extrapolate what data was available for Education week.  $58,875 AUD on Education projects, $99,659 AUD worth of scholarships, bursaries and vocational training. Members are to be congratulated on the invaluable projects and scholarships undertaken which address education, and it has been said many times, we know that this is not the full story, as many clubs do not report, I am sure these figures could possibly double if we all took the time to report.   We need your data, data allows us to bench mark, to evaluate, (part of the reflection to be undertaken at club planning days), provides for informed decision making, problem solving, greater understanding (of the problem and solution), improving the process and understanding (meeting the needs of the recipients of our projects).

Our next major campaign in both CSW68 and IWD, Soroptimist International has a team across the 5 Federations going to CSW.  SISEAP will be presenting an in person webinar, (more news about this in the February eSPAN).  To publicise Soroptimist International, SISEAP have organised SISEAP branded IWD purple ribbons, these have been priced very cheaply (1.70AUD) they come folded and pinned ready to sell or hand out at your events, place your order NOW through HQ just email hq@siswp.org with the quantity to be ordered.

Awareness and Advocating are two of the pillars of our organisation and the 16 Days of Activism provide Soroptimists across our Federation with many opportunities to participate. Going back 20 plus years whilst Soroptimist talked about domestic violence, it was not considered a subject which we could actively raise public awareness to. Thank goodness this has changed. As a leading women’s civil society organisation it is our duty to amplify our voices, raise awareness and advocate for change. How inspiring it is to view social media on all of the various actions being undertaken by clubs and members to bring about an end to gender-based violence. We have lit up the world with orange and the actions of Soroptimist. Well done.

As we wind down to the end of 2023, and Christians prepare themselves for the Christmas Festival, we should remember that Festivals are an important event in our calendars. Festival celebrations of all forms, create enthusiasm and happiness between families and friends, and the important message of Peace and Goodwill. This year we have seen violence inflicted on people in many parts of this world, we pray for their safety, wellbeing and an end to conflict. I wish all Soroptimists a Happy Festive Season, please spend your time wisely with much joy and friendship.

On the 14th of this month I will be joining my SI Beenleigh Soroptimists friends, as we continue with a long tradition (over 30) of packing Christmas food hampers for the less fortunate in our community. 2 weeks ago, my 10 year old grandson said to me, “Nannie, last year you took me to help pack Christmas packs, can I please come with you to do this again”. I was overjoyed as this time at his own initiative he wanted to be a part of this. I do believe that Soroptimist empower many people on all levels to give generously of their time to their community.

I thank each and every one of you for the generosity of your time as a Soroptimist, and once again reflect on 2 sentences from the Soroptimist pledge – “The Joy of achievement, the dignity of service”, may you all finish of this year knowing that your Soroptimist work has made a difference to many women and girls. Take time to rest and come back prepared for an action packed 2024.

Educate, Empower, Enable three statements we refer to in written and vocal communication.  As Soroptimists we create projects which empower women every day, but to do this important work we must empower ourselves. SISEAP has recently ran two Thriving Futures programs, where 28 attended the Kuala Lumpur program and 15 attended  the  Western Australia one. 

Through the participation in these courses, our members have gained empowerment as this training equips them with essential tools, resources, and skills required to make informed choices and effectively solve problems.  If you would like to know more about this program, reach out to your membership zone coordinators or Membership convenor Yvonne, and enquire if the Thriving Futures program can be held in your area.

The Living with Nature art competition, a project I created to provide a voice to our youth through visual art has crowded its champions. Visual art provides communication and self-expression beyond what words can convey. My hope was that our youth would be engaged, and that the clubs which undertook the project would connect with their community through this project.  Artwork was received from 3 countries, Malaysia, Australia and New Zealand.  The artists are very talented, including two budding film makers Matilda Grant and Tianian Shen - their video covers the impact of waste with a strong call to action 'Pick it up' .  Please visit the website to view these artworks, and consider speaking to your club members to participate in this competition next year.

Continuing my theme "Our Voice for Change”, the Programme team interviewed two young women for the International Day of the Girl Child.  I encourage members to play these videos at club meetings or events. I hope that all members were able to participate in the October is Membership month campaign. Did you complete the survey at your club?  I know that the SISEAP family of social media was alight with many events and activities undertaken during October to raise awareness to our organisation.  I thank you all for your input and hope that there is success in increased membership.

With two months remaining until the close of yet another successful year, we are not shifting into holiday mode just yet. November and December are gearing up to be busy weeks when we amplify our Voices to bring awareness to ending domestic and gender-based violence.
